Position Descriptions:
President - Oversees the daily operation of the Little League, leads and manages the team, and delegates tasks to appointed positions. Present at the fields on all days that there are games and practices. Maintains contact with LL International and District leadership, including attendance at all appropriate meetings (about 6 annually) and responsible for responding to all communication therefrom. Has first-hand knowledge of regulations of LL International, authorizes the annual application for charter, and binds board members to observe the regulations. Attends any meeting with the township. Work with the community related to fields, improvements, and other issues. Takes an active role in gaining support and winning friends for the program. Conducts all Parent and Coaches meetings with commissioners and board members. Approves teams and coach assignments with commissioners. Composes divisional schedule with commissioners. Files all end of the year taxes. This role takes on average 15 hours a week, not including events and board or district meetings.
Vice President - Presides in the absence of the President; works with all officers and committee members; is an ex-officio member of all committees and carries out assignments delegated by the President. Attends district, township, league required meetings if the president is unable to. Assist President with meetings, assists commissioners with building teams, and conducts and oversees all drafts and/or tryouts. Acts as the Safety Officer for the League and prepares the annual safety manual each year that’s required by Little League. Oversees the summer season. This role takes about 5-10 hours per week, including committee work and time with Little League events.
Administrator - Responsible for setting up meeting space and taking and distributing minutes for all meetings, responsible for ensuring adherence to all notifications of meetings, assists with collection of background checks. Completes all paperwork For Little League (Charter, Liability Insurance and Tournament paperwork) with the President. - This role takes on average about 2-5 hours per week, not including events.
Treasurer - Responsible for all VBALL finances, safeguarding and maintaining financial records, developing and enforcing compliance with financial controls, preparing annual budget, dispensing funds as approved, reporting on financial status, handling deposits and withdrawals at the bank, monitoring the mailbox, ensuring tax exempt status at vendors, evaluating adequacy of insurance coverages and other asset safeguards, and submitting information for tax return to accountant. Deposit all checks to the bank account. This role takes on average 5-10 hours per month off season, not including events and meetings. February to June can be 5-10 hours per week depending on activities.
Fundraising Director - This role is responsible for proposing and coordinating all fundraising for Van Buren Area Little League. This includes coordinating the yard sign fundraiser, bowling fundraiser and raffle, and any other fundraising events throughout the year. Works with the Board to determine apparel fundraising plans (vendor, products, prices) and coordinates apparel sales at various events throughout the year. Chair of the Fundraising Committee. Coordinates with committee members to plan and support various fundraising activities. Works with Communications Director to communicate events to VBALL families and communicates with the Sponsorship Director if donations requests are needed for special events (opening day giveaways, Fundraising baskets, etc) to ensure no overlap with donor requests. Maintains relationships with vendors who supply funds to support the league. The hours for this role vary throughout the year ranging from 6-20 hours per week during busy times.
Volunteer Coordinator - Responsible for recruiting, organizing, and overseeing volunteers for concessions, field maintenance, coaching staff, assistant coaches, and team operations support. Ensures all coaches complete required paperwork and mandated trainings. Time commitment ranges from 5 to 10 hours per week during peak periods.
Concession Manager - Responsible for the overall operation of the Concession stand. Applies for Health department permit and schedules inspection for concession stand. Responsible for organizing and obtaining volunteers. Responsible for purchasing supplies and stocking concession stand. Responsible for coordinating health department inspections. Responsible for knowing the SERV safe requirements (temperatures of food). Responsible for maintaining clean and stocked bathrooms. Responsible for starting up food items at beginning of day and cleaning and shutting down at the end of the day. This position is Mon-Thurs evenings and Saturday's during the game period (May to June).
Minors Baseball and Tee-Ball Commissioner - Plan for season - recruit and choose coaches, get board approval. Determine how many teams will be in each division, attend drafts to support that process. Hold coach’s meetings, handle parent/player concerns, work with scheduling team to reschedule rain-outs. Assist with Minors Player Pitch All Star process, including sitting on All Star Committee and proposing a budget for board approval. This role has up and down busy times, on average taking 5-12 hours a week during the planning and regular season.
Majors Baseball Commissioner - Plan for season - gyms, clinics for training, oversee clinics, recruit and choose coaches, get board approval. Determine how many teams will be in each division, run evaluations, attend drafts to support the process. Hold coach’s meetings, inform, train, prepare for season, work with other leagues to process scheduling, handle parent/player concerns, work with scheduling team to reschedule rain-outs, assist with All Star process, including sitting on All Star Committee and proposing a budget for board approval. This role has up and down busy times, on average taking 5-12 hours a week.
Softball Commissioner - Plan for season - gyms, clinics for girls training, oversee clinics, recruit and choose coaches, get board approval, evaluate equipment and order as necessary. Determine how many teams will be in each division, run evaluations, attend drafts to support the process. Hold coach’s meetings, inform, train, prepare for season, pass out equipment, work with other leagues to process scheduling, handle parent/player concerns, work with scheduling team to reschedule rain-outs, assist with All Star process to include sitting on All Star Committee and proposing a budget for board approval. This role has up and down busy times, on average taking 5-12 hours a week.
Communications Director - Responsible for all communications with VBALL players, families and fans. Collects, posts and distributes all information to members, public, media, etc. This role also manages all social media to effectively communicate with members on upcoming activities, and maintains website or works with web manager. Hours vary depending on where we are in the season. Typically 1-4 hours a week not including special events and meetings.
Sponsorship Director - Responsible for coordinating and reporting on all sponsorship activities including identification of sponsors, collection of sponsorship monies, agreement forms, and recognition of sponsors. Ensures correct sponsorship names are used on uniforms and signage. Obtains permit from the city and coordinates placement and removal of VBALL registration yard signs. Ensures sponsorship plaques are distributed timely and that sponsors are thanked appropriately. The hours for this role vary based on the time of season: 8-10 hours per week prior to the start of the season then 1-2 hours per week, not including event days and meetings.
Equipment Manager - Responsible for upkeep and maintenance of all team and player equipment for baseball and softball. Issue and collect equipment from coaching staff. Maintain inventory of all equipment to ensure it is returned, prepare a plan for updating equipment and budgeting. Orders all field and playing equipment supplies including practice and game balls. Manage keys distribution to coaches and return of keys at the end of season. Removes unsafe equipment from inventory, oversees storage facility and relationship with facility. This role varies on hours based on time of season, front end busy preparing for season and then about 1-2 hours a week, not including events and meetings.
Safety Director - Responsible for creating and maintaining safety plan, inventory and update all safety kits for teams and fields, update AED pads and batteries as necessary, conduct background checks on all volunteers, coordinate safety training for all volunteers, collect concussion forms for new players, involved with safety of players during inclement weather, review players who request to play up during evaluations, file injury claims with Williamsport. This role varies on hours based on time of season, front end busy preparing for season and then 1-2 hours a week not including events and meetings.
Player Agents (Baseball and Softball) - Advocate for all player members, manages registration process and maintains league rosters, responsible for adherence to processes approved by the board, has the authority of board to rule on any issues that arise during events. Responsible for checking birth records and bounds, coordinates evaluation of player’s level of play. Organizes any type of clinics and or camps to benefit the players with commissioners. Responsible for helping with draft procedures and/or tryouts. Responsible for settling any disputes between coaches, players and parents before it's taken to the President or Board. The hours for this role varies based on time of season, 6-10 hours/week for pre and regular season and 5-10 hours a week during Evaluation/draft time and All-Star time.
Chief Umpire - Responsible for recruiting, training, oversight and scheduling umpires for baseball and softball. Must have a thorough understanding of all rules for baseball and softball. Order rulebooks, establish, distribute and enforce all playing rules, answer questions/concerns from members/umpires/coaches about rules, and assist in hosting tournaments. Organize umpire training and game schedule. Responsible for providing and distributing umpire equipment. Schedule or assist scheduling of field preparation crews. Needs to be at fields for every game in case of issues with coaches, players and parents. Needs to be prepared to Umpire game(s) if Umpires are a no show. Off season hours are very few, not including meetings & events. Hours vary from 8-20 per week from April to June depending on activities.
Field Maintenance Supervisor - Responsible for maintenance and upkeep of fields. Responsible for organizing field days for spring prep and fall clean up. Prepares plan of field needs and submits budget request. Responsible for dragging and chalking all fields for games including setting pitcher rubbers at proper distance. Maintains inventory of field equipment, ensures fields are playable on game days. Responsible for weeding and spraying all fields. Management of field crew, including scheduling the tasks they are to perform. Organizing crew to complete chalking of all game playing fields. Responsible for keeping field equipment in good running condition, keeping all storage buildings clean and organized, and for maintaining a proper grass level in the outfields or working with the township crew to upkeep appropriately. The hours for this role varies, not including events and meetings could be as high as 2-4 hours per day. On average it will be 6-10 hours per week.
Member-at-Large – Responsible for supporting the Board throughout the year as needed. This includes helping plan Opening Day including organizing the MC, the ceremony tasks and appointing people to complete tasks, helping VBALL players and coaches marching in the parade line-up, and set-up and tear-down of day. Supporting evaluations and All-Star hosting activities and working as a liaison with the Bombers, etc. The hours for this role vary throughout the year, but are minimal. Most time is spent at monthly meetings and on committees, is about 2-5 hours per week.
Uniform Coordinator - Coordinates the ordering, printing, and distribution of all board-approved uniform components for spring and summer seasons. Assists in distributing team uniforms. The hours for this role are 5-10 hours/week during March/April for Spring Season, June/July for All-Star team, and August/September for Fall Ball season.
Webmaster - Works with Communications Director and other board members to keep the VBALL website up to date. The time commitment for this role is about 5 hours/week in the beginning to get the existing website up to date, about 1-2 hrs per week during the season to update.
Spring Pictures Coordinator - Works with the board-approved photographer to schedule pictures for all teams during the spring season. This will require time during April and May to set up the picture dates, make-up date, and distribute pictures.
Evaluations Assistant - Helps Player Agent set up spring player evaluations, process results, and distribute to coaches. This position is estimated to take up to 10 hours/week during March not including Evaluation Day and can also assist with All-Star evaluations.
